Maile Hausverwaltung has specialised in the management of rented residential and commercial properties for decades. Our activities as property managers in Stuttgart, Munich, Dresden and other German cities include all work related to responsibilities of the building owner of rented residential and commercial buildings.

Our clients are individuals, communities of owners, heirs and fractional ownership as well as foundations, associations, cooperatives and churches, many of whom have been loyal to us for decades, in some cases since our foundation in 1925. It is an honour and a constant motivation for us, even after almost 100 years, to convince them of our trust, reliability and personal service and to confirm their confidence in us again and again.

We take over all activities for our customers which are connected with their properties. The owner can decide for himself to what extent he would like to be involved.

Many of our long-standing clients, many of whom have been with us for generations, have left the management of their properties entirely to us. Our services naturally include tenant care, monitoring and accounting of incoming rent, property accounting, preparation of ancillary rental cost statements, heating statements, preparation of documents for tax advisor as well as the selection, management and control of all service providers such as cleaning and winter services, carftsmen, public utilities and many more. In addition, we naturally take care of new tenancies, flat inspections, handover protocols, deposits and deposit statements as well as tenancy agreements in accordance with the latest legislation.

We are also proud to be able to support our clients with regard to maintaining and increasing value through maintenance and modernisation measures. If desired, we can take over the complete construction management for renovations, refurbishments and larger maintenance measures.

Maile Hausverwaltung represents the owners and is the first point of contact for all tenant matters. The support provided to tenants is varied and ranges from the preparation of the tenancy agreement and the handover of the flat throughout the entire rental period to the final inspection of the flat at the end of the rental period and the final deposit and utility statement. During the rental period, there are many questions and issues for which Maile Hausverwaltung is always available to the tenants as their contact partner. We see ourselves as partners of the tenants and want to make living and working in their rooms as pleasant and beautiful as possible for them, without losing sight of the owner’s goals. Mainly, it is the most important place in people’s lives – their home.  Therefore, we treat this as real partnership – we enable them to live and work beautifully, a place where they feel comfortable and home. In return, they keep the flats in good condition and have a strong self-interest in ensuring that the entire apartment building or commercial property shines in the same way. A good tenant-owner or tenant-property management relationship always benefits owners and tenants alike.

By law, the rents of all tenants must be paid into the account by the third working day of the month. Maile property management checks all rents accordingly at the beginning of each month and initiates the appropriate steps in the event of non-payment or a different amount of the rent paid. Usually a phone call or an e-mail is enough. However, sometimes reminders need to be sent and, in exceptional cases, further steps such as immediate termination or eviction proceedings may have to be initiated. Maile Hausverwaltung takes good care of all these matters and always stays up to date using digital applications.

In addition to the incoming rent, our team also checks all invoices, such as those from utilities, property tax or craftsmen and, after approval, pays them from the house account. In addition, open invoiced receivables are constantly checked and reminders are sent if necessary.

In accordance with the accounting principle “no accounting entries without documentation”, all bookings are recorded by the property accounting department. Maile Hausverwaltung keeps the bookkeeping for each property constantly up to date. Every credit, payment and debit is checked for correctness and receipts and are booked accordingly. Each client thus receives a comprehensive quarterly statement for each property, in which all key figures are clearly presented. In addition, an annual statement is prepared for each property and all documents and receipts are made available to the tax office and tax advisor. Through the use of innovative IT systems and direct links with banks, this process can be carried out by Maile Hausverwaltung in real time and thus remains up to date at all times.

Maile Hausverwaltung prepares all operating cost statements for each property annually. All incurred and apportionable operating costs such as general electricity, water, property tax, house cleaning, insurance, regular maintenance, etc. are allocated to the individual units in accordance with the contractually agreed distribution key. Special attention must be paid to the different regulations in the individual tenancy agreements. A distinction must be made between flat rates and advance payments.

Whereas the tenant’s advance payment of service charges results in an annual settlement in which the service charges paid are compared exactly to the cent with the operating costs incurred, thus resulting in credit payments or additional payments, the situation is different with lump sums. In this case it is checked whether and to what extent the rates paid cover the costs incurred, but there is no subsequent adjustment in the form of a credit payment or subsequent payment. For both, however, it applies that the respective operating costs statement or review of the lumb sum is decisive for a possible adjustment of the advance service charge payments or flat rates to be paid in the future – both upwards and downwards. Maile Hausverwaltung keeps track of all issues and specifics for each property and unit at all times and performs the settlements, review of the lump sums as well as their adjustment in a timely manner and according to currently applicable law.

In every property, several service providers are active at the same time – often visibly, but also invisibly, all of whom must be selected, guided and controlled with great care. In addition to the most well-known service providers in the building, the house cleaning service and craftsmen of all kinds, there are others such as water and energy consumption billing service providers, service providers for smoke alarm, heating and lift maintenance, TÜV, chimney sweeps and others. If there are repairs to be done in the house, Maile Hausverwaltung takes care of them personally and directs and controls the corresponding craftsmen in their activities. Due to its long history, Maile Hausverwaltung can draw on a broad network of long-standing partners and service providers, allowing owners to benefit from competitive prices and first-class performance by the service providers. This extends to all trades, whereby fast, individual and cost-effective solutions are found in matters of maintenance measures, renovations and redevelopments.

At certain intervals, the rent level of each tenant should be checked against the current market rents and adjusted accordingly. In recent years, this process has become more and more regulated and correspondingly complicated. In many areas of Germany, rent indexes have been introduced, which prescribe a maximum rent for flats with a corresponding location and equipment. The criteria for this are constantly changing. In addition, so-called capping limits were introduced, which limit an increase in the basic rent in terms of percentage and time and also differ per area. We ensure that all legal regulations are adhered to and that rents are always kept at a healthy level. What many people, especially tenants, often do not consider: if the rental income is good, the owner has a greater incentive to invest more in maintaining the property, which in turn benefits the tenants.

Maintenance & Repairs

Maile Hausverwaltung not only manages, but also personally takes care of its properties – this also includes personally addressing open issues in order to find the best possible solutions on site.

Maintenance measures need to be assessed on an ongoing basis and, if necessary, carried out in order to ensure the long-term function and value retention of the property. In this context, we attach particular importance to preserving old materials where possible and sensible, especially when it comes to buildings which are listed as monument. Newer materials are not automatically better and a repair can be both more sustainable, more economical and more visually appealing than the direct replacement with something new. Nevertheless, even repairs and maintenance measures require a far-sighted knowledge of the property as well as a deep technical understanding. If, for example, a flat is in need of renovation, the right steps can already be taken when repair work is carried out during the existing tenancy, thus avoiding renovation costs. Often, in addition to technical understanding, a high degree of creativity is required – because every property is different and often there is not just one solution, but many or, at first glance, none.

Renovation & Redevelopment

In addition to maintenance measures, Maile Hausverwaltung also takes care of renovations and refurbishments for its clients – both inside and outside the properties. If desired, Maile Hausverwaltung can take over the complete construction planning and construction management, from the conception to the completion and acceptance. This activity, which is quite untypical for property management companies, has its origins: a long time ago, and still common for most property management companies today, architects were commissioned for renovations and refurbishments. For quite some money, they took over the planning and construction management. While we as property managers gave the architects detailed instructions (planning), they took over the construction management. While things looked satisfactory on completion and the acceptance was successful, problems arose early on, e.g. with drains, joints or ventilation. The time horizon for architects is different from the one of property managers. After completion and expiry of the warranty, the property manager is still concerned that there are no problems. So after Maile Hausverwaltung had already done the planning itself at this point, it also began to supervise the construction phase specifically to ensure clean and sustainable work by the craftsmen – in its own interest. After excellent results and, in particular, highly pleased and satisfied customers, it was decided to manage the majority of the projects ourselves, from flat renovations to façade renovation. A real USP compared to most property management companies, as a long-standing client attested to us.

New rental

New rental

Every property has a change of tenants from time to time. This is even desired by the owner or property manager, as it offers the opportunity for renovations and redevelopment which are not possible when the property is occupied. In addition, the rents can be partially adjusted to the market price.

The entire process from the receipt of a notice of termination to the new tenancy with handover of keys and receipt of the deposit from the new tenant is a long and time-consuming one. Maile Hausverwaltung takes care of the whole process. After checking the contract documents, sending the confirmation of termination, the cancellation of the deposit account as well as an initial inspection to check maintenance measures and taking photos for the new tenant, a flat acceptance date is agreed on. A detailed inspection report is prepared, meter readings are reported to the utilities and all keys are taken from the tenant. While the re-letting process is already underway, the deposit is settled – this may result in a partial retention of the deposit for any damage caused to the flat, but also for any additional operating costs that may be incurred in the future with the upcoming operating cost statement. After a new tenant has been found who is suitable for the property, the tenancy agreement is sent to him in duplicate in accordance with the latest law and is already stored in the system. After receiving the signed tenancy agreement, a new deposit account is created into which the deposit is paid and a handover date is agreed on. Again, a detailed handover protocol is prepared until the keys are handed over and the new tenant can move into the new home.
